Student Attendance

We are required by state and/or federal mandate to report non-attendance of students receiving federal financial aid and/or federal veterans benefits and students participating in Youth Options.
The College addresses these requirements through the procedure where instructors record an “N” for non-attendance. Therefore, as soon as you have made a determination that a student should be recorded as an “N” for non-attendance for your course, please report this status on your class roster with your signature and submit a photo copy of the roster to the Enrollment Center at Truax. Unfortunately, this functionality of recording an “N” directly into Faculty Center in PeopleSoft is not yet available. Please stay tuned for this enhancement. For now, use the paper class roster to notify the Enrollment Center of non-attendance.
Guidelines for issuing an N:
-The current Attendance policy indicates: Students who will not be in attendance for their first class meetings must inform the appropriate Dean in writing. Failure to comply may jeopardize continued enrollment. Attendance is the responsibility of the individual student. In cases of absence, work must be made up by arrangement with the instructor.
-The Census Date or Date of Record (used to finalize the financial aid package for students) is two weeks into the term. The Fall 2009 Census Date is September 4. Therefore, notification by that date is ideal. Early notification allows the Financial Aid office to work with the student on repayment and the appeal process for reinstatement (if applicable). Late notification (at end of term) will delay the student’s ability to receive aid for the next term.
-Once the “N” is submitted to the Enrollment Center, the Enrollment Center will update the student’s record. You may view the update in your Faculty Center within three days after you have submitted your paper class roster to the Enrollment Center office at Truax. Please note that an “N” holds the student liable for all tuition for the course. The only way a student receives a refund (according to WTCS Refund Policy) is if they initiate the withdraw within the refund period.
Please refer any student who may be attending your class, but does not appear on your roster, to the Truax Enrollment Center or Downtown/Regional campus administrative offices to clarify his/her enrollment status.
