PeopleSoft User Accounts Overhauled by SAFE Team

    The Security Assessment, Facilitation and Enforcement (SAFE) Team was created as part of the STEPS Program as a cross-functional group of business unit representatives convened for the general purpose of monitoring and oversight of processes and practices related to the implementation of security in the systems of scope. The current scope of the SAFE Team is PeopleSoft Campus Solutions or the student administration system.

    Madison College LogoOver the last several months, the SAFE Team has conducted a project to define and update user accounts into clearly defined roles. The intent of this project is to simplify and clean up PeopleSoft user access to correct a decade of drift in user authorization and new functionality. Additionally, this project will result in the definition of role assignments based on job position number. As an employee transfers jobs at the college, he/she will now automatically get the appropriate PeopleSoft access associated with that new job rather than an amalgamation of previous access. Role assignments will be automatically done for these regular employees based on an employee’s job/position (PSRP, full- or part-time instructors, administrators). The work is nearly complete.

    The SAFE Team is extending these concepts to apply for those working on limited terms including temporary workers, casual staff, student workers (work study or student help), contractors, or interns (paid or unpaid). The team has defined several standard roles with certain PeopleSoft access to meet the majority of typical needs for these types of workers. The PeopleSoft Access Request form has been updated to reflect the results of the team’s work and the changes to the process to request PeopleSoft access for LTE staff.
