New Phone System Update

As we transition from the Avaya phone system to Cisco, there will obviously be a period of time where a subset of users within the district are on each system. This "‘split" does not have any impact on the bulk of services. Callers can reach people in either system without dialing any differently, and calls can move across the system through actions like transferring.

Cisco PhoneThere are a few behaviors impacted by the split that you should be aware of, however. The biggest of these is the separation of the directories that callers use for searching. People will only appear in the directory of the phone system to which they belong – the Audix directory for Avaya/Audix users and the Unified Messaging directory for Cisco/UM users. If a caller tries searching for someone from within the opposite directory, that person will not be found (please note that this is not the online directory or the directory within Outlook, only the directory within the phone tree).

We will be modifying the recordings in each phone tree on April 1st to instruct people to call the other directory if they do not find the person they are searching for. We realize that this is not ideal, and we are trying to keep the transition time as short as possible.

The numbers to reach the two directories are:
    • Avaya/Audix – 246-6100
    • Cisco/UM – 246-6300

The other items of note are:
    • Avaya/Audix users will not be able to transfer voicemail to a Cisco/UM
user.  This communication will need to be passed in another fashion, such as transcription into an email, if necessary. Cisco/UM users will be able to transfer voicemail to either Avaya or Cisco users as an email attachment.
    • Both Avaya and Cisco users will still be able to call into the
Information Number (800-322-6282) from a long distance location in order to reach staff or faculty without incurring long distance charges.
    • The Audix option to ‘Record a Message’ cannot be used to record a
message directly to a Cisco/UM user. You can, however, record directly into a Cisco/UM users voicemail box by selecting *xxxx (star, extension.)

Please let me know if you have any questions about this information.  Again, we are trying to keep these disruptions as short as possible, and I am happy to discuss anything that you like further.

    Thank you!
