MATC Catering Services

Procedure to Request Catering Services

Catering requests at MATC can be provided by calling Catering Coordinator Brad Kahn at 246-6667, or via e-mail at cateringmatc@matcmadison.edu.  To request catering from the Cafeteria Food Services, clients must complete a Catering Requisition Form (a Microsoft Word Document, please complete electonically and e-mail to cateringmatc@matcmadison.edu). This form can also be obtained from food services via e-mail, inter-office mail, or in person.

To provide you with the best possible service we ask that you make all arrangements for your event and submit the required form at least two weeks in advance, with the final (guaranteed) food count submitted four (4) working days prior to the event. Any request made without one week’s notification will need the approval of the catering coordinator or their designee and may result in an additional “last minute” charge being assessed.

 

Requests During Non-Operating Hours

During periods when food services are not in operation, a minimum order of $75 is required. Those times at Truax are Monday-Thursday, before 7:45 a.m. and after 6 p.m., Fridays before 7:45 a.m.. and after 4 p.m.. and Saturdays and Sundays. DTEC hours are Monday-Friday before 7:45 a.m. and after 2 p.m. and Saturdays and Sundays.  During non-operational hours, all catering will be required to have at least one service attendant at a rate of $20 per hour, minimum of two hours.

The Catering Order Form

To request catering from the Cafeteria Food Services, clients must complete a Catering Requisition Form (DOC).

Guarantees, Cancellations and Service Options

An estimated count must be given when you plan your event and submit your form, at least a week prior to your event. The final (guaranteed) food/guest count must be submitted four (4) working days prior to the event. If a final (guaranteed) food count is not provided within the specified time line, you will be charged for the estimated count or actual number of guests attended, whichever is greater. Should you need to cancel your event or food order, notification must be received at least forty-eight (48) hours prior to the event. If notification of cancellation is not made within forty-eight hours, you will be charged for the final (guaranteed) count.

 

Special Menus, Outside Catering Services

Foodservice has the right of first refusal, meaning all catering requests must be submitted through food services. Once the request is received the catering coordinator will review it to determine if the enterprise and/or the Culinary Arts program can accommodate the service. If it is determined that food services and/or the Culinary Arts program can’t handle the request, the food service supervisor can assist you in securing an outside vendor.

A waiver is not necessary for informal gatherings, meetings or social events where attendees might bring food or beverages.  However, said gatherings must be less than 60 people, with no non-MATC personnel involved.

Occasionally, special menu items (i.e. authentic ethnic meals) are requested which are best accommodated by an outside provider. In those cases an outside vendor may be hired to provide the service only after you have submitted a written request for a waiver and received permission from the food service supervisor or their designee.

PLEASE NOTE that no invoices for an outside cater or food bought with an MATC purchasing card will be paid by the finance office without a waiver of the right of first refusal by the catering coordinator or their designee. The Culinary Arts Department Courses and enterprise activities are considered internal vendors.

 

Culinary Arts Catering

An Alternative method of obtaining catering services at MATC is to utilize the skills and expertise of the faculty and students within the Culinary Arts Department. As an institution of higher education, the learning and development of students is essential to our mission. Therefore, the services provided through the Culinary Arts Department are excluded from the “right of first refusal” program granted to the Cafeteria Food Service operation.

Currently, the Culinary Arts Department operates the following services (primarily at the Truax Campus) as part of their curriculum: Retail Bake Shop/Ancora Espresso, Baking Club Sales, Gourmet Dining Room, Connoisseurs Club Sales (Including catering special events and functions), Production Kitchen sales, the Catering course (currently offered during the Spring Semester), and the in-house Catering Services. Through these catering opportunities, students are provided with an educational environment that exposes them to real-life experiences and challenges.

 

Miscellaneous Charges and Information

Table cloths and napkins: MATC Catering provides tablecloths for food service tables only.  Additional tablecloths and cloth napkins can be provided upon request for an additional charge of $5.00 per table.  All catered events are served on heavy disposable plastic products.  If china service is desired, please discuss with the catering office when making your arrangements.  A fee will be charged for china service.

Service delivery and pick up: In order to provide you with the best possible service, we ask that you please provide us with the exact time service is required.  MATC Catering will automatically build in lead time as necessary.  Also, list a time that your services can be picked up.  Every attempt will be made to pick up the service following the event.  However, this is not a guarantee unless a time is given when placing the order.  When picking up your event please make sure all items left by dining services are available.  A replacement fee may be assessed for equipment and supplies not returned.

Service charges: Linens (for non-serving tables) $5.00 each; Service Attendant (2 hour minimum) $20.00 per hour per attendant; China Service $1.00 per person; Last Minute Ordering Fee $15.00.

Non-college group: Non-college groups are subject to a 10% gratuity charge.
