General
Use Policies for the Mitby Theater
|
1)
The Mitby Theater is owned and operated by the Madison Area Technical
College District. The first priority is given to Madison Area Technical
College's academic, performing arts and other college activities.
Only dates that do not conflict with the college calendar will be
considered for rental to external agencies.

2)
MATC reserves the right to secure a damage deposit of up to $1,500
in advance.
|
3)
All income derived from the use of the facility including, but not
limited to, ticket sales, novelty sales, concession sales, registrations,
offerings, collections, etc., are subject to current percentage fees.
|
| 4)
A theater House Technician must be present at all times of occupancy.
The cost will be billed to the renting organization. |
a)
The House Technician's call will begin one - half hour before
the established call time.
b) All labor has a three hour minimum.
c) The renting organization will be billed for overtime
for any time above 40 hours per week.
d) Meals and breaks must be scheduled into work calls.
Fifteen minute breaks must be given in a call longer than three
hours. Meal breaks may be 30, 45 or 60 minutes, and must be included
in a call six hours or longer.

5)
The Mitby Theater is a non-union stage house. The renting organization
may contract with the IATSE Local 251, any contract for IA labor is
separate from any contract with MATC. The renting organization shall
be responsible for the conduct and activity of IA Stage Employees
the way they would over their own staff. The Mitby Theater House Technician
is the final authority over all technical concerns.

6)
All facility time, labor and equipment must be requested on the Event
Application. Last minute requests for additional time and labor may
not be granted, nor will we guarantee that additional equipment will
be available. Please check the inventory of lighting, sound and soft
good materials before you return the Rental Application.

7)
The Managing Director is responsible for the theater, its control
rooms, dressing rooms and the two adjacent music department rooms.
Any rooms other than those listed are outside of the theater's jurisdiction
and must be requested through the Facility Administration office at
(608) 246-6263.

8)
All staging, electric and sound plots must be approved by the Managing
Director before load - in. Any set - up deemed unsafe by the Managing
Director shall be modified to the satisfaction of all parties. The
cost of any such modification shall be born by the renting organization.

9)
Any equipment required for the event other than what is listed in
the theater inventory shall be the responsibility of the renting organization.
Any equipment on the theater inventory may become unavailable, at
which time the Managing Director will inform the renting organization
and a solution will be arrived at to the satisfaction of both parties.

10)
The renting organization shall follow all fire code regulations regarding
public performance, including the use of flame resistant materials
for scenic or design purposes.

11)
Wisconsin Building code requires the renting organization to limit
the number of people in the pit orchestra to twenty five members when
the pit cover extensions are left intact. All sections must be removed
if the pit orchestra contains more than twenty five members.
|
12)
The use of open flame, pyrotechnics, smoke or chemical fog is prohibited.
If any aforementioned materials are used, it shall be the obligation
of the theater staff to discontinue the performance until the items
are extinguished and removed from the stage. The theater has a deluge
(water) curtain: smoke or heat will trigger the sprinklers. The building
is also equipped with smoke detectors that sense air particles and
odors, all smoke effects with the exception of dry ice trigger the
alarm.

13)
The renting organization shall not post signs or affix banners to
the building without the prior consent of the Managing Director. No
items may be attached or mounted to the physical structure. Nailing
into the stage floor may be permitted but shall require the renting
organization to patch and sand the area after the event.

14)
Event sponsors are limited to identity promotions within the auditorium.
No objects or materials bearing a sponsor's name will be permitted
on the outside of the building or in the public hallways.

15)
Parking for trucks or vans is limited to one vehicle at the theater
loading dock at a time and must be coordinated prior to the event.
No vehicle may stay in the loading zone unattended. The loading zone
is part of the Fire Lane. Once the vehicle is unloaded, it must move
to the lot.

16)
Any amplified effects or music shall be limited to an output of no
more than 95 db at the sound console. The final output may be monitor
by the theater staff who shall have the authority to change the levels,
if required, during a performance.

17)
Any broadcasts, telecasts, recordings, etc., require prior consent
of the Managing Director.
|
18)
The renting organization is responsible for all licensing rights for
the performance and novelty sales.
|
19)
MATC will provide a safe, clean and unobstructed area for the event.
It shall be the responsibility of the renting organization to maintain
and restore the area to such condition. a) Any lighting, masking,
or sound plot that has been hung for the duration of the event must
restore back to the house plot at the cost of the renting organization.
b) If the orchestra pit cover or orchestra shell is used for an event,
the cost of set - up and restore will be billed to the renting organization.

It is the responsibility of the renting organization to clean the
dressing rooms and check the hall to secure all property belonging
to the renter. Any items to be returned will be sent C.O.D. |

MATC
District Use Policies
|
1)
The following items represent a portion of District policy regarding
use of the facilities. The applicant may also request the facility
permit form which shall serve as the final contract for rental. As
stated, each document shall be considered conditions by which the
renting organization will be bound once agreeing to take on the rental
of the facility. By accepting a facility permit, the renting organization
accepts responsibility of the school building and property assigned
while the permit is in effect, furthermore, to observe all laws of
the City and of the State and all rules of the MATC District Board.
The renting organization agrees to hold the Madison Area Technical
College District harmless of any and all damages the Board may suffer
as a result of the renter's use of the facilities.

2)
MATC and/or any agent or employee shall not be liable for damage to,
or loss of property belonging to, or in the care of the renting organization
while engaged in the use of the facility.
|
3)
During inclement weather the college may close regardless of any existing
permits. Any rental charges will be eliminated for that day. If the
college is open during inclement weather, it is the responsibility
of the renting organization to determine their use of the space. Rental
charges may be billed if required to cover costs of equipment, labor,
etc. MATC shall not be liable for any loss of income due to inclement
weather, public emergencies, or other acts of God.

4)
Parking permits are required on all vehicles which are parked on campus.
It is the responsibility of the renting organization to obtain parking
permits from the Parking Office at 246 - 6031. Parking permits may
not be required for audience members. However, it is the renting organization's
responsibility to inform the Parking Office of the date and time of
a performance to avoid ticketing your patrons. Please note: Daytime
events (Mon-Fri) will be required to use the overflow parking lot
(see map), or off- campus parking as the first priority for parking
is to students and staff.

5)
Tobacco and alcoholic beverages are not permitted on District premises.
|
6)
Minors involved with an event must be supervised at all times. The
renting organization is responsible for the conduct of all persons
(including audience members) associated with the event.
|
7)
Custodial support is required after normal school hours. Normal school
hours are from 7:30 am until 10:00 pm, Monday through Friday and Saturday
from 8:00 am until 3:00 pm. All other times are considered overtime
with a three hour minimum and will be billed to the renting organization.

Front
of House Policies
|
|
1)
For all public performances, an MATC House Manager must be present
a minimum of one hour prior to curtain time until all audience members
have vacated the theater. The cost will be billed to the renting
organization.
|
2)
No one from the renting organization is allowed inside the Box Office.
|
3)
The doors to the theater shall be opened no later than 30 minutes
prior to curtain time. The House Manager will have the authority to
open doors at their discretion. In the event of school performances
the lobby doors may be opened 45 minutes prior to curtain time to
accommodate larger groups.

4)
Ushers are the responsibility of the renting organization. If no ushers
can be located by the renting organization, MATC reserves the right
to hire an appropriate number of ushers for a three hour minimum.
The costs will be billed to the renting organization.
|
5)
MATC reserves the right to hire security for any event. All charges
for security will be billed to the renting organization.
|
6)
When schools are bused in for a performance, two staff members, and
two security guards are required for traffic control. The renting
organization shall incur the labor charges.
|
7)
Concession and novelty sales will be counted as income from the event
and charged as part of the percentage fee. If novelty sales are handled
by an agent other than the renting organization, it is the responsibility
of the renting organization to inform both the agent and the Managing
Director.
|
8)
The theater lobby shall be free of any obstructions and must conform
to fire code regulations. Any tables or displays placed in the lobbies
shall be approved by the Managing Director prior to set-up.
|
9)
All free performances open to the public must be ticketed to prevent
exceeding the capacity. Ticketing may exceed the theater's capacity
of 976 by no more than ten percent per performance, however, the theater
will be filled on a first come basis and the capacity may not be exceeded.
|
10)
Complimentary tickets may not exceed 10% of the house capacity. Any
free tickets above 10% of the house capacity shall be counted at full
price for the purpose of calculating the theater rental.
|
11)
The renting organization will provide six (6) complimentary tickets
per performance to MATC upon written request from the Managing Director.
|
| 12)
If the renting organization handles the ticket sales, we suggest that
you set aside companion seats for wheelchair patrons, six seats behind
the house sound console as obstructed view, and at least six additional
seats per performance. These are all precautionary steps to insure
quick problem resolution on the day of the event. Any of the tickets
could be sold last minute if the demand is great. |

Box
Office Policies

Policies Regarding the Mitby Theater Box Office Service (Optional)If
the renting organization elects to use the Mitby Theater Box Office
as an outlet, the following policies apply
|
|
|
1)
The Mitby Theater Box Office Service is only available during the
normal school year when the box office would normally be in operation.
MATC and the Mitby Theater reserve the right to decline any request
for box office service.
|
|
|
2) Tickets may be supplied by either the renting organization
or MATC. If MATC is to supply the tickets for an event, all ticket
information must be received by the Managing Director, in writing,
no less than one week prior to the first day of sales.
|
|
|
3)
The Mitby Theater Box Office will provide an accurate record of daily
sales to the renting organization with the final settlement. MATC
will release a check, approximately two or three weeks after the event,
in the amount of the total sales less credit card charges, sales tax,
and final rental charges.
|
|
|
4)
The renting organization may elect to use other outlets for ticket
distribution. MATC shall not be held liable for the accountability
or loss of tickets handled by any outside ticket outlet.
|
|
|
5)
The Mitby Theater Box Office will take ticket orders over the phone,
payable with a Visa or Master Card. We will not hold tickets nor take
reservations without payment. Tickets are sold at the window with
a credit card, cash or checks, made payable to MATC.
|
|
|
6)
All sales are considered final. Exchanges may be granted at the discretion
of the Managing Director.
|
|
|
7)
Complimentary tickets may be granted by the renting organization.
A list of names, or actual tickets must be provided to the Box Office.
No one will be given complimentary tickets unless approved by the
renting organization. When dealing with Radio Station giveaways, we
suggest that the station fax a copy of winners to the Mitby Theater
Box Office at 243-4011. We further suggest that winners be instructed
to pick up their tickets at our box office thirty minutes prior to
the event - or the tickets will be released for sale.

8)
The Mitby Theater will hold twelve (12) tickets per performance.
These seats include six (6) seats behind the sound console which
are obstructed view and six (6) house seats for problem resolution.
If these seats are not required, they may be released for sale in
the last minutes before the event. These seats may also be used
to seat ushers, or as the six complimentary seats requested by MATC.
