RE: NEW MASS EMAIL POLICY AND CHANGES


I am writing to let you know that we are implementing a new Mass Email Policy approved by College Council last semester. As prompted by this policy, we are eliminating the GroupWise “campus all” group email addresses established for each of our campuses and centers, as well as the current three group email addresses called Faculty FT, Faculty PT and PSRP Union. We are doing this to reduce the distribution of unsolicited internal mass email messages that some departments and employees have continued to send to large groups of employees.

For those of you who stopped sending unsolicited mass email messages when we discontinued the use of GW_All last August (see Special Bulletin #20506) and instead are submitting regular news items to MATC Matters, thank you! I appreciate your proactive approach and the courtesy you are extending to your coworkers. Thank you for supporting the improvements we are striving to make to our internal communications systems and practices.

In place of the former “campus all” and employee public group accounts, we are creating similar nonpublic group accounts that are reserved for the use of our executive team, or designees, and union leaders. We also have developed a MATC Bulletins process that will allow approved mass email messages to be distributed through our vice presidents and their assigned staff. If you feel it is important to send a mass email, please review our MATC Bulletins information and contact your vice president to discuss the details of your announcement.

For faculty and staff who wish to share information among each other, we also have created two new listservs, one called Faculty-L and the other PSRP-L. All faculty and support staff employees are automatically subscribed to these lists, which provide an efficient way of communicating among a large number of people, or about a specific topic. Please take the time to learn more about these and other listservs on the MATC Strategic Advancement Website, including how to subscribe, unsubscribe or start a new one.

I do encourage you to rely upon our employee news site, MATC Matters, launched last summer, as your daily news source for internal college information. It is easy to submit news — just click on the ‘submit news’ link in the top navigation. MATC Matters will continue to send an email to all employees weekly to highlight new headlines and announcements, but I urge you to check our employee site during every workday. New headlines and announcements are posted to the site often, and you may miss important news if you read it only occasionally. We promise to make MATC Matters as efficient as possible so that you easily can obtain information that is current and pertinent.

These changes to our communications systems are intended to help you work more efficiently and keep you better informed about internal news important to you and your work at the college.
