Re: Access Rights to GW_All Changed

To help streamline internal communications systems at MATC, we will be changing access rights to the GW_All function of our GroupWise email system effective tomorrow, Friday, August 19. The GW_ All function has allowed any of our nearly 2,500 employees on the GroupWise system to send mass email messages to all other employee accounts.

We are making this change to protect employees from unsolicited email messages that interfere with their daily work and to better align our email practices with the MATC Faculty and Staff Computer Systems Acceptable Use Guidelines (available in the Technical Resources section of the Faculty & Staff Page, linked from the MATC homepage.) According to surveys conducted internally this year, about two-thirds of GroupWise users report that they routinely do not open GW_ All messages.
Since a need to communicate some immediate or critical announcements via email to all MATC employees still exists, we are retaining our ability to quickly communicate urgent and important information to all employees. Our President and three Vice Presidents will have access to a broadcast GroupWise account that reaches all employees. They may choose to delegate similar access to college departments that demonstrate a significant business need to send immediate messages collegewide.
If you need to make an announcement to employees that is of an urgent or critical nature, affects the entire college and/or involves our safety and security, contact one of our three Vice Presidents (Becky Baumbach, Debbie Derr, or me) or President Barhorst’s office to request a collegewide email announcement. You will need to provide the Vice President or President with advance copies of the complete text of the email message as well as the time and date it should be sent.

In an effort to offer employees an improved communications resource, the college has piloted an employee news website called MATC Matters (available by clicking on the 'Faculty and Staff' link from the MATC homepage). The site has been working well and is growing in readership and content. It is updated daily as needed with the goal of making it the primary source of news and information for MATC employees.

Please consider submitting any information you would normally send via GW_All to MATC Matters. To submit news, information or photos to MATC Matters, use the quick submission form available from the site (click on ‘Submit News’ in the top right corner of MATC Matters at http://matcmadison.edu/matc/news/matcmatters). You also can submit news, suggestions or questions regarding MATC Matters to matcmatters@matcmadison.edu.

I encourage you to bookmark and visit MATC Matters regularly to check for announcements, news and articles to keep up-to-date with college news. A weekly broadcast email will continue to announce the site’s latest headlines and remind you to visit MATC Matters.

The college offers a number of other ways to communicate efficiently via email. A number of email groups (e.g., MATC Chat, MATC Sales & Exchange) have been available for several years to promote the exchange of information on shared interests and specific topics among faculty and staff. To learn more about how to join one of these email groups, read these instructions.
