ACE Grading & Instructor Evaluations
Roster/Class and Final Grades
In the go packet, instructors will receive a screen print of their class list as of that time. In the instructor go packet is also a blank attendance sheet that students should sign in the first class and attendance should be taken every class period. This attendance sheet must be mailed to the ACE office along with the last timesheet for the class. The ACE office will be responsible for filing the correct roster with the enrollment center.
Persons who are not listed on the instructor class lists should fill out a registration form that is also included in your go packet and returned immediately to the ACE office for processing. Students should NOT be allowed to attend classes if not officially registered. If you have questions regarding the official registration status of a student, call the ACE office (258-2301) or DT Registration office (246-6100) for assistance.
Instructors may request an updated class list at any time from the ACE or DTEC Registration office.
Instructors are responsible for maintaining detailed attendance and grade records for each student and course. Failure to turn in attendance sheets with accurate hours attended and grades could result in a hold on future teaching assignments.
Only "S" (satisfactory), "N" (never attended), "W" (withdrew), and "U" (unsatisfactory), can be used for non-credit classes. Combinations of these grades, such as "NU" cannot be used. Hours of attendance should be recorded for all students.
In accordance with student due process procedures, students have the right to appeal their grades. Please read the section on Grade Appeals in the Madison Area Technical College catalog for more information.
Certificates of successful course completion are available to students who have completed a certification class (Currently: Dietary Manager, Insurance Continuing Education, Insurance Pre-Licensing and Real Estate Continuing Education courses).
Certificates for all officially registered and paid students are printed and mailed to students who have successfully completed the course. Certificates will be sent to the student upon receiving the attendance sheet with final grades from the instructor. No duplicate certificates will be issued. If a certificate is lost or stolen, destroyed, etc. students should request a non-degree transcript from the Transcript Request office 246-6213.
Certificates will not be coordinated by the ACE office for any other course (i.e. non-certification courses). However, students may request an official non-degree transcript to document that they have successfully completed a course. Please see the 'Transcripts' section for more information.
If a non-credit student sincerely thinks the final grade he or she has received in a course is inaccurate or unjustified, he or she may initiate an academic appeal. In most, if not all cases, the instructor and student should be able to resolve the issue. However, if the student and instructor are not able to reach an agreement, the student may request to meet with the DTEC Administrator. Should the issue still be unresolved after this meeting, the Academic Appeals Committee will meet with all parties involved and make a final determination. Instructors of all courses must submit course evaluation forms. Instructors will receive evaluations in their go packet. Evaluations will be mailed to students' homes for first-time instructors. They must be returned to the office no later than two weeks after the course ends. If evaluations are not received, or if there are less than 70% response, the ACE office will send the students the evaluations in their mail to return. Failure to provide a reasonable explanation for non-return of evaluations can jeopardize any future teaching assignments
Please Note: Changes should not be made to the standard ACE evaluation form.
Students should be given the opportunity to personally mail completed course evaluation forms to the ACE office to maintain the confidentiality of their comments. Please provide the students with postage-paid mailing envelopes from the ACE office for this purpose.
Special course evaluation forms are required for specific courses and should therefore be used in addition to the general evaluation form.
Completed course evaluation forms are summarized by ACE staff for review by the DTEC Campus Administrator. If the summary reflects notable concerns, the instructor will be contacted directly for additional input and clarification.
ACE staff may periodically and randomly phone students to gather course evaluation data. The DTEC Campus Administrator may also observe specific courses.
If a student would like documentation that they have successfully completed a non-credit course, the student may request an official transcript by calling 246-6213. Students must specifically ask that their non-credit course grades be included on the transcript.
