Part-Time Faculty Information

EMAIL ACCOUNT
Activate your MATC email account though the website (matcmadison.edu).  Click on the A-Z Index and then locate Account Activation (Employee) to proceed.  MATC Email is the preferred direct contact link we have with instructors.  Please check your messages regularly.  If you have trouble activating your account, contact the Help Desk at 246-6666.

MAILBOXES
Campus mailboxes are issued to staff to receive various notices, communications, as well as class rosters and grade reports from the Enrollment Center.  Please check at the mailroom door (room 119) the first week of classes for your mailbox number and combination.  Mailroom hours are 7:30 am to 4:30 pm.  This is the best way (besides email) that we are able to communicate pertinent information to you, so it is very important that you retrieve your mail before each teaching session or at least once per week if you are only teaching online classes.  Mailboxes are reissued each semester.

MATC ONE CARD/ROOM ACCESS
All part-time instructors MUST HAVE a valid MATC One Card in order to get into their assigned classrooms. If you are a new instructor or if you have not received a One Card, you will need to get one before classes begin.  The process is handled through Doug Gerbitz/Jeff Luthanen in Room 117.  You are required to show a valid driver’s license.  All employment paperwork needs to be turned in to your Center office and you need to be in the PeopleSoft system before a one card will be issued.  If you are unable to get into a room that you need access to, contact your Learning Center staff or facilities in room 117.

PARKING
New part time faculty will need to obtain a staff parking sticker which are ordered online.  You must have a One Card to order the sticker.  Go to the MATC website (matcmadison.edu), click on the A-Z Index, then click on Parking – Staff.  Fill in the appropriate information, including the make, model, color and license plate of your vehicle.  The first parking sticker is free.  Additional parking stickers for other vehicles cost $5.00 plus tax ($5.28).   You may indicate whether you want the sticker mailed or placed in your MATC mailbox. 

STAFF COMPUTERS
Room 216 (Truax campus) is available as PT Faculty Shared Office Space.  This shared space with desks, computers, phones, storage space, and supplies is meant for the temporary use of PT faculty who need a place to prepare for class, grade assignments, use a computer to work online, contact students, consult with colleagues, etc.  As a shared space, it is not intended for PT faculty to claim their own space, but to use as necessary to be prepared to teach. PT Faculty members will also be welcome to continue to use the new CETL offices (219) and resources there for their work.  Learner Success, Diversity and Community Relations Office, CETL and the PT Faculty Union share responsibility for the development and support of PT Faculty Shared Office Space.. Since the room is locked, PT faculty will only have access via their One Cards. There may also be part-time work stations in and around full-time teacher offices within your program area.  Individual programs also often have lab space you can use.  Check with the lead teacher in your program area for information.  Any problems with computer lab equipment should be directed to the Help Desk at 246-6666.

TIME SHEETS
Completed time sheets should be submitted weekly to your Center office staff through interoffice mail.  Each 50-minute classroom period should be recorded as one hour on your time sheet (e.g. class that meets 5:30-8:00 or 5:30-8:30 = 3 hours).  Please make sure to include the 10 digit course number (i.e. 804-123-0001) and four-digit employee number, if known.   Please make sure information is legible.  Time sheets should be turned in at the end of each week.  Time sheets submitted after the due date may be subject to payment on the next pay period.  Blank time sheets may be picked up in the Center office.  Checks will be direct deposited to your bank account.  If you have any questions on time sheets, please contact the Center office.

COPYING/DUPLICATING

Copy machines for instructional staff are available in Room 226 and 378D at the Truax Campus.  Instructors may do their own duplicating at these machines.  If you wish to use these machines, obtain a copier access charge number from the book in the duplicating area.  If you are a new instructor, contact the Center office to obtain a copier access charge number.

Also, multiple copies of handouts may be done through the Duplicating Center, Room 226, at the Truax Campus.   Orders may also be placed online for electronic copies of documents.  The website is http://matcmadison.edu/technologyservices/document_services/PlacingOrders.shtm

AUDIO VISUAL EQUIPMENT/SMART CLASSROOMS
For any A/V equipment that is not already in the room, Audio Visual Equipment can be scheduled for instruction by contacting the Instructional Media Services area in Room 227A (enter through Room 226).  Request cards for video units, PowerPoint equipment, and special set‑ups are available in Room 226.   For part‑time evening instructors, requests may be made by calling 246‑6084.  For technology assistance in your classroom, contact the Help Desk at 246-6666 or extension 6666 from internal phones.

LOCKERS
Part-time faculty can get a small- or medium-sized locker at no cost for the school year, prior to the beginning of the semester. If one of the large lockers is desired, faculty need to wait until three (3) weeks after classes begin in order to get a locker at no cost, as priority is given to students. If a locker is needed prior to that time, a large locker may be rented for $25 for the semester.

Please contact the Student Life Office (Room 140) 246-6228 to rent a locker.

PART-TIME INSTRUCTOR VOICE MAIL
Voice mail is available for part-time instructors.  If you would like a voice mail box, contact your Center office.

FIELD TRIPS
Field trips are an invaluable part of education when they are organized and planned.  Approval must be requested through the Center office.  A field trip request form must be completed and approved in advance of the scheduled field trip.  Each student must fill out a waiver form before the trip is taken.  These forms are available from the Center office.

COUNSELING SERVICES
Counseling Services are available to students and faculty.  The Counseling and Admissions Office provides educational, admissions, vocational, personal, social and group counseling to any student who wishes to take advantage of these services.  Counseling services are available in Room 159 or by calling 246-6076.

EMERGENCY PROCEDURES
Emergency Procedures and Safety Orientation training is required for all new employees.  Online training is available on the Environmental Health and Safety office website. http://matcmadison.edu/facilities/ehs/

SCHOOL CLOSING - WEATHER CONDITIONS
In cases of severe weather, MATC students should monitor local radio and television stations for campus closings.  Radio stations:  WIBA-101.5 FM or 1310 AM, MAGIC 98 FM, WTDY-1480 AM, WOLX-94.9 FM, WTSO-1070 AM, WZEE-104.1 FM, WMMM-105.5 FM, WYZM-105.1 FM, Q106-106.3 FM.  Television stations:  WISC TV-Channel 3, WKOW TV-Channel 27, WMTV-Channel 15.  Students/staff may also call the MATC Emergency and Building Closure Hotline at (608) 246-6606 for Truax Campus closings.  MATC seldom closes because of bad weather.  Students are urged to use their own judgment as it relates to their situations considering distance, road conditions, safety and other factors, and determine individually if they should report as usual.  Students will not be penalized if they cannot report to work or meet classes as scheduled.  They will be given an opportunity to take scheduled examinations at another time.  Provisions shall be made by teachers for completing any classroom work on a formal or informal basis.

PURCHASING
While we want to equip you with key instructional materials, absolutely no purchases may be made without prior approval.  Direct questions to your supervisor, or see your lead teacher

SUPPLIES
Basic supplies such as paper, pens/pencils, paper clips, etc. are available in the Center office.  If there is something you need but we do not have, you may order it through the Center office or your lead teacher.
