Motor Pool Procedures
Procedure: #D200: Motor Pool

Goal:
To provide, maintain and schedule a fleet of vehicles for authorized use
by employees and student groups of the district
Process:
- Several types of vehicles
- automobiles, minivans and large passenger vans are available in Motor
Pools inventory for use by full-time, part-time and contracted
employees and for students which are within the scope of the employees
job or the students instructional program or approved student
activities. Maintenance and scheduling of the Motor Pool vehicles is
done by the Bookstore.
- Motor pool vehicles can
be scheduled up to six months in advance on a first-come, first-served
basis, and can also be scheduled on short notice, depending on availability.
- A completed Motor Pool Vehicle
Permit, complete with a valid chart field and approved by the proper
authority, must be presented to the Truax Bookstore to use any of the
Motor Pool vehicles.
- Different rates per mile
are charged (in accordance with the Department of Financial Resources
Rate Sheet). Rates are reviewed annually and may be adjusted to keep
the Motor Pool operation at a break-even status.
Limits:
- A valid budget chart field
account is required on the Motor Pool Vehicle Permit.
- Drivers of Motor Pool vehicles
must be duly licensed by the State of Wisconsin, be in possession of
a regular operators license, and have a good driving record. Drivers
names are maintained on a master list, which is submitted to the districts
insurer for yearly drivers record checks.
- When possible, rate increases
will be announced six months in advance to allow customers to adjust
their budgets for the next fiscal year.
Consequences:
- The districts maintenance
of a motor pool provides staff and students with a cost-effective alternative
to using personal vehicles or contracting vans for transporting large
numbers of people.
