New STEPS Role-based Security Project Underway

Madison College uses PeopleSoft Campus Solutions to support many of its student administration processes. Now in its third phase, the Student Transformation for Effective Practices & Systems (STEPS) Program is laying the groundwork for the upgrade, scheduled for July 2011.  The Role Based Security Project, an important ancillary initiative of the STEPS Program, will help improve the way staff access data on this system by streamlining the setup with role-based access control.

Transitioning to a role-based system will automate not only how staff access data, but it will also simplify the way access to the student administration system is processed and administered.  Security will be established by the staff roles, allowing faculty and staff appropriate system access sooner. Faster access will not only save time, but also enhance student service, as the staff will have access to student data tailored to job requirements and duties.
To provide consistent and necessary access to our systems while reducing risk, the Role Based Security project will automate processes wherever possible and simplify those that cannot be fully automated in order to reduce the amount of time staff spend requesting, processing, and approving security requests.

Role Based Security will improve efficiency for Madison College students and staff by:

    • Eliminating paper-based security set-up to cut down on human error mistakes in filing and processing.
    • Allowing staff appropriate and consistent access to data and information, saving staff time and improving quality of student services
    • Simplifying employee on-boarding.

Although this project is currently underway, the project team expects the transition to Role Based Security processes to begin in March 2011 and continue through June 2011. The rollout will be organized in phases by department and coordinated with managers, supervisors, and staff. Staff can expect to begin receiving information about the process for their department prior to their conversion date.
