| DIRECT DEPOSIT FOR EXPENSE REIMBURSEMENTS
In our continuing effort to better serve MATC employees, the Department of Financial Resources is pleased to announce Direct Deposit for Expense Reimbursements. The process works just like Direct Deposit of your payroll check. Whenever you submit an Expense Reimbursement Claim, the amount of the claim will be directly deposited into a bank account (checking or savings) of your choice. No more lost checks ! No more waiting in bank lines to cash that reimbursement check! It’s fast, safe, and reliable! All you need to do to sign up for this new service is complete and sign the Expense Reimbursement Direct Deposit Form ( pdf), which is available on the Financial Resources Forms Central webpage. Send the completed form along with a voided check or deposit slip from your bank account to Accounts Payable, DTEC room D015. It will take approximately 14 days for setup to be complete. Please note that your elections on this form will not effect your Payroll direct deposit election. You can choose the same account or a different account. Don’t delay, s ign up now ! |
Starting August 1, the Mail Center will be replacing the ASN Numbers with MC Codes. An MC Code is a 10-digit numeric code that is tied to a unique chart field string. MC Codes are currently used whenever you make copies on a copier with a Copy Commander system attached or provided when you use Duplicating or Word Processing. The same code will be used for making copies and mailing. This change is being made to replace an outdated coding system (ASN Numbers) and is coinciding with the installation and implementation of new mailing equipment and software in the Truax Mail Center. The new hardware/software will enable the Mail Center to more efficiently scan and track outgoing and incoming mail with bar codes. Starting August 1, 2006, you must supply a MC Code Barcode Form with every outgoing envelope and mail bundle. To assist you with this, Financial Resources has created an Envelope Template and MC Code Barcode Mailing Forms, which are available on the department's forms webpage:
Simply enter your name or your department/division name, your MC Code, hit enter - to get barcode and print the form. Attach the form to your mail and send to the Mail Center. You are also free to purchase MC Code stamps that can be used to stamp outgoing mail with your MC Code and Department Name. However, remember you must send one of the MC Code barcoded mailing form with each piece or mail. Having the stamp does not replace the barcoded mailing form. Please begin using the MC Codes as soon as possible. ASNs will be accepted until August 1. After that date, any mail received with an ASN will be returned to the sender to be recoded with an MC Code, potentially delaying the delivery of the mail. A complete listing of MC Codes (pdf) is available on the Department of Financial Resources Website. If you feel an MC Code is missing for your area, please contact Kathy Waters at Ext. 6305. |
